Documentation:

Export Documentation.

Export documentation is usually split into 3 main types.
a) The Contract between the Buyer and the Seller
b) The Documents required for the physical movement of the goods
c) The Documentation required for the Consignee - to cover customs clearance, payment etc.

a) The Contract between the Buyer and the Seller

  • The Commercial Invoice – The exporter (seller) prepares an invoice to the buyer, showing the price of the goods and terms of shipment (sale). A packing list accompanies the commercial invoice; which shows the number of packages, description of the goods, physical weight and size etc.
  • A Certificate of conformity - Invoicing regulations usually vary according to the destination, therefore additional certificates maybe required for importation. This needs to be reviewed on a case by case basis and we would be happy to advise you on this.

b) Documents to facilitate transportation

  • Shipping Instructions - Clear instructions from the exporter to SKI Freight staff is essential. We can provide you with a standard shipping note to facilitate this process.

  • Dangerous Goods Note - For goods classified as dangerous in the any of the export markets we are shipping to; there is a need to comply with IMO, ADR, RID or IATA regulations. This will necessitate the completion of a standard dangerous goods declaration prior to shipment.

  • Bill of lading – This is issued by forms the contract of carriage. It is regarded by the banks as the most important document in international trade, as it is evidence of the contract of carriage, receipt of the goods and is a transferable document of title for the goods.

c) Documents for the consignee / customs

The international movement of goods may also require further documentation to support their status, in order to satisfy the needs of local Customs authorities. This will depend upon the goods: country of origin, destination or mode of transport. Once again this may be dealt with on an individual basis and we would be happy to advise you of the regulations for each country accordingly.
